Position Overview
Position Title: Program Coordinator – Male Position
Purpose: Assist the Program Director in the day-to-day operations of the men’s program, coordinating client care, program administration (i.e., events, activities, dental, medical, court appointments), and faith-based support services.
Employment Classification: Regular, Full-time, Hourly, Non-exempt
Reports To: Program Director
Essential Duties and Responsibilities:
Client Supervision
- Enforces all program rules in a way that teaches clients according to biblical principles
- Loves and respects clients while remaining firm and directive
- Supervises clients as a Direct Care Staff when necessary
- Assists with client business calls and issues as approved by the Program Director
- Strives, with the assistance of all staff, to create an atmosphere conducive to the development goals of ATCNEW
Client Records and Administration
- Maintains client records under the supervision of the Program Director
- Answers phones, emails, and voicemails in a timely and professional manner
- Maintains adequate supplies of policy manuals, client handbooks, client forms, and other materials
- Prepares and distributes forms and other documents as needed
- Maintains clients’ Release of Information (ROI) forms and coordinates the Release of Information process
- Processes prescription receipts
- Enters client passes into the client database after Program Director approval
- Processes approved client correspondence
- Distributes client progress evaluations
- Records notes for house meetings
- Ensures the client database is kept current, including all information required for National Adult & Teen Challenge reports
Volunteer & Mentor Program Administration
- Respond to volunteer and mentor inquiries promptly, courteously, and professionally. Volunteer opportunities may include food service and meal preparation, transportation assistance, facility maintenance, recreational activities, and woodshop support.
- Distribute volunteer and mentor applications in a timely manner upon request.
- Maintain accurate records in the application database, documenting when applications are sent, received, and when additional information is obtained.
- Follow up on all outstanding applications within three business days.
- Review and process applications in coordination with the Program Director.
- Coordinate with the Executive Assistant to complete background checks for approved applicants.
- Assist the Program Director with onboarding, orientation, and training of approved volunteers and mentors.
Scheduling and Appointments
- Schedules all client outside appointments (i.e., dental, medical, court, etc.)
- Coordinates transportation to and from appointments as needed
- Coordinates the daily program and activity schedule of clients to ensure adequate time is allocated for recreation, physical exercise, studying, church attendance, biblical studies, spiritual development, and community service
- Assists Program Director with coordinating client activity schedule and work detail
Client Accounts
- Enter all deposits and withdrawals in clients’ personal accounts
- Receives from program staff all money for client personal accounts and submits to Accounting for deposit
- Ensure proper receipts are utilized in the transfer of the client's personal money to prevent actual or perceived loss
- Submits client withdrawal requests to the Accounting Department for processing
Client Rooms and Blessing Room
- Ensures each client’s room is adequately supplied with furniture, bedding, room decor, and necessary items
- Ensures sufficient quantities of required items are available for new clients upon arrival
- Initiates damage or maintenance reports as needed and submits paperwork to the Program Director
- Maintains sufficient quantities of clothing in the Blessing Room, organized by size and type
- Approves and supervises the distribution of clothing; ensures items are clean and ready for distribution
- Maintains records of all Blessing Room distributions and keeps the room neat and clean
Recreation Activities
- Submits recreation activity proposals to the Program Director
- Maintains an inventory of all recreation equipment and ensures it is in good working condition
- Tracks equipment usage to prevent loss and notify the Program Director accordingly
- Submits purchase requests for recreation equipment to the Program Director
- Maintains the client bulletin board with reminders of upcoming events and ATCNEW guidelines
Transition and Graduation Support
- Assists clients in gathering resources for securing post-graduation employment and housing
- Assist clients in completing professional resumes and developing interview skills
- Provides clients with the opportunity to make phone calls for job search and housing searches
- Assists in arranging or transporting clients to job interviews and related appointments
- Coordinates with the Program Director to ensure adequate support systems are in place before graduation, including church, housing, employment, education, and driving privileges
- Develops ongoing relationships with local businesses for future client placement
- Develop a resource database for clients to use in job searches
- Assists Program Director in scheduling and assigning new Mentors
Program Operations and Compliance
- Monitors activities of the Program and reports areas of concern to the Program Director
- Monitors client housing to ensure the facility meets health and safety regulations
- Conducts regular inspections of the program’s housing facility and provides written reports to the Program Director regarding property damage, cleanliness, and energy efficiency
- Submits purchase requests for needed items to the Program Director for approval
- Provides administrative support to the Program Director
- Routes paperwork to appropriate locations
- Other duties as assigned by the Program Director or senior management

Minimum Qualifications
- 21 years of age or older
- Exhibits a strong commitment to the organization and dedication to the spiritual restoration of hurting adults
- Strong ability to relate to and mentor people with life-controlling problems
- Ability to interpret Bible verses and apply basic biblical knowledge in an appropriate and relevant way to clients’ individual life issues and needs
- Ability to pray aloud with clients and other staff for client needs
- Strong leadership skills in both one-on-one and group settings
- Exceptional ability to successfully manage multiple concurrent assignments with competing deadlines and frequent interruptions
- Ability to remain on task and follow through on projects to completion
- Good administrative skills, including organization, database management, and word processing
- Documented minimum of two years’ freedom from chemical use problems (including tobacco, drugs, and alcohol)
- Models a lifestyle in compliance with ATCNEW’s Code of Conduct & Statement of Faith
- Maintains professional standards of conduct and appearance with co-workers and the public
- Possesses a valid driver’s license and a clean driving record acceptable to ATCNEW’s vehicle insurance carrier; ability to drive ATCNEW vehicles
